How LoopHub Solutions collects, uses, and protects your personal information — including AI-powered calls, call recordings, and meeting transcriptions.

LoopHub uses conversational AI agents to make outbound calls on behalf of our clients. These calls are not made by a human. You will be informed at the start of the call. You can opt out at any time by saying "stop calling me" or emailing us.

Calls & meetings are recorded

AI-initiated calls are recorded and transcribed. Discovery meetings include an AI notetaker that records the conversation to generate summaries and action items — so we can serve you better. You'll always be notified before recording starts.

1. Data Controller

LoopHub Solutions ("LoopHub", "we", "us") is the data controller for personal information collected through loophub.solutions, its forms, communication channels, and marketing campaigns.

2. Data We Collect

2.1 Information you provide directly

  • Phone number (mobile or landline)

  • Business information (industry, size, lead volume, monthly revenue)
  • Any additional details shared in forms, calls, or meetings

  • IP address and approximate geolocation
  • Browser type and operating system
  • Pages visited, time on site, and browsing behavior
  • Traffic source (ad, organic search, referral)
  • Email open rates and click interactions

2.3 Data generated through AI interactions

  • Call recordings and transcripts from AI-initiated phone calls
  • Lead qualification scores and responses captured during calls
  • Meeting recordings, transcripts, and summaries generated by AI notetakers during discovery calls and demos
  • Follow-up history and pipeline status within our CRM

3. How We Use Your Data

Primary purposes (required for service delivery)

  • AI-powered outbound calls: Calling your phone number using an automated AI voice agent to qualify your interest, schedule meetings, and follow up — on behalf of LoopHub or our clients.
  • Call recording & transcription: Recording and transcribing AI calls for quality assurance, compliance, and service improvement.
  • Meeting notetaking: An AI notetaker joins scheduled discovery calls or demos to record, transcribe, and summarize the conversation so our team can follow up accurately and provide better service.
  • Lead qualification: Evaluating fit between your needs and our services or our clients' offerings.
  • Scheduling: Booking discovery calls, demos, or kick-off meetings.
  • Service delivery: If you become a client, using your data to configure and run AI campaigns.

Secondary purposes (with your consent)

  • Sending educational content, case studies, and product updates.
  • Statistical analysis and improvement of our AI qualification models.
  • Retargeting ads on platforms such as Meta and Google.

🤖 AI Calls: By submitting your phone number to LoopHub, you expressly consent to receiving voice calls made entirely or partially by an artificial intelligence system. These calls are commercial in nature. You may opt out at any time verbally during a call or by contacting us.

🎙️ Recordings & Transcripts: All AI calls and scheduled meetings may be recorded and transcribed. Recordings are used strictly to improve service quality, generate meeting summaries, and maintain accurate records. You will be informed before any recording begins. You may request deletion of your recordings at any time.

4. Data Sharing

Your data may be shared with:

  • LoopHub clients: Businesses that hire our platform will receive your information as part of the lead campaign you opted into.
  • Technology providers: CRM tools, VoIP telephony, AI transcription services, and automation platforms we use to operate (all bound by data processing agreements).
  • Analytics platforms: Google Analytics, Meta Pixel, and similar tools for behavior analysis (anonymized or pseudonymized where possible).

We do not sell your personal data to unrelated third parties.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal data:

  • Encryption in transit (HTTPS/TLS) and at rest for all sensitive data.
  • Access restricted to authorized personnel only.
  • Regular security reviews and vulnerability management.
  • Data processing agreements with all vendors who access personal information.

In the event of a data breach affecting your information, we will notify you within the timeframes required by applicable law.

6. Your Rights

As the data subject, you have the following rights:

  • Erasure: Request deletion of your data when it is no longer necessary or you withdraw consent.

To exercise any of these rights, email contact@loophub.solutions. We will respond within 15 business days.

📵 To stop AI calls: Say "stop calling me" during any call, or email contact@loophub.solutions with subject "Opt Out — Calls". We will process your request within 24 business hours.

🗑️ To delete your recordings: Email us with subject "Delete My Recordings" and we will remove them within 5 business days.

7. Data Retention

  • Non-converted leads: Up to 24 months from last contact.
  • Active clients: Duration of the contract plus up to 5 years for legal and fiscal obligations.
  • Call recordings & transcripts: Up to 12 months, unless required longer by law.
  • Meeting recordings & summaries: Up to 12 months, or until you request deletion.
  • Analytics data: Indefinitely in anonymized form.

After these periods, data is securely deleted or anonymized.

8. Cookies & Tracking

Our website uses cookies and similar technologies to:

  • Ensure the technical functionality of the site.
  • Measure traffic and user behavior (Google Analytics).
  • Run retargeting campaigns (Meta Pixel, Google Ads).

You can configure your browser to refuse cookies. Some site features may be affected.

9. Policy Updates

LoopHub reserves the right to update this Privacy Policy at any time. Material changes will be communicated via email to registered users or via a prominent notice on our website at least 15 days in advance.

Continued use of our services after changes are published constitutes acceptance of the updated policy.
